The Investment

Real Systems. Real Results. Here's What It Looks Like.

How Engagements Work

We meet you where you are and take you where you want to go, in phases. Some owners want to move fast. Others start with one leak and build from there. We look at your leaks and your budget, then decide together where to start. That might mean connecting the tools you already use, building a system you own and control, or something in between. We build it, train your team to run it, and can stay with you after launch.

The Command Center

Every Command Center starts with interviews and process mapping. Fully set up, it runs your whole client lifecycle, from the moment a lead comes in, through sales, delivery and payment, to re-engagement for the next job. Every one is tested with your team before anything goes live, and every automation starts in approval mode. What changes by tier is how far it reaches.

Core

Typical investment: $10,000 to $15,000+

Clinic builds include added HIPAA protections, which increase cost. Your scope call maps them out.

Builds that handle sensitive financial or legal data include added security, which increases cost. Your scope call maps it out.

Who it's for: You can point to the one problem that costs you the most. Maybe it's calls going to voicemail after hours, or finished jobs sitting for weeks before anyone bills them. You want that fixed first, and you want proof it works before you go further.

What it fixes: Your single most expensive leak, from start to finish, like answering every lead 24/7 or turning finished jobs into invoices automatically.

What changes for you: That leak stops. Leads get answered in seconds, or invoices are ready to approve the day the work is done. You watch the money come back on your dashboard, and you stop being the one who has to catch it.

Who it's for: You know where the money slips. Maybe the front desk can't answer every call, or past patients never get a reminder to come back. You want that fixed first, and proof it works before you go further.

What it fixes: Your single most expensive leak, like answering every call and booking request 24/7 or bringing lapsed patients back automatically.

What changes for you: That leak stops. New patients get booked instead of sent to voicemail, or your schedule fills with people who already know you. You see it on your dashboard, and you stop covering the front desk yourself.

Who it's for: You can point to the one problem that costs you the most. Maybe inquiries sit for days before anyone replies, or finished work waits weeks to be billed. You want that fixed first, and proof it works before you go further.

What it fixes: Your single most expensive leak, like responding to every inquiry the same day or turning completed work into invoices automatically.

What changes for you: That leak stops. Prospects hear back while they're still deciding, or invoices go out the day the work is done. You see it on your dashboard, and you stop being the one who follows up.

Builds that handle sensitive financial or legal data include added security, which increases cost. Your scope call maps it out.

Who it's for: Your team works hard, but they lose hours every week copy-pasting between apps. Sales doesn't know what the office promised, and the office is chasing techs for notes and receipts. Every question still ends up on your desk.

What it fixes: The gaps between 2 to 3 parts of your business, like leads, scheduling, billing, or payroll, so information moves on its own.

What changes for you: Information moves on its own between departments. Your team stops being the human bridge between screens. Everyone starts the day with a clear list of what to do, so you stop running the daily status meeting in your head.

Who it's for: Your front desk and billing team each run their own system, and nothing talks. Your team re-enters the same details all day while no-shows and open balances slip through. Every problem still lands on you.

What it fixes: The gaps between 2 to 3 parts of your practice, like scheduling, reminders, billing, or recalls, so information moves on its own.

What changes for you: Your team stops re-typing and chasing. Everyone starts the day knowing which patients to confirm and which balances to follow up on. You stop being the one holding the practice together.

Who it's for: Your intake and billing live in separate tools, and your team fills the gap by hand. Hours go unbilled and scope creeps. Every question still lands on your desk.

What it fixes: The gaps between 2 to 3 parts of your firm, like intake, scheduling, time tracking, or billing, so information moves on its own.

What changes for you: Your team stops re-typing and chasing. Everyone knows what's due today, and billable hours stop slipping away. You stop being the bottleneck for every client question.

Who it's for: You're running multiple crews or locations, and you find out a job lost money weeks after it's done. Change orders slip through and bids take days. Staying in control means being everywhere at once.

What it fixes: Your whole operation, from the first lead to the next repeat job. If you run a larger platform like ServiceTitan, the Command Center connects to it.

What changes for you: You see job margins and cash flow as they happen, right from your phone. The system flags a margin drop or an unsigned change order before it costs you. Your managers act on it without waiting for you, and you get back to leading the business.

Who it's for: You run multiple providers or locations, and you only see how each one performed after the month closes. Staying in control means checking everything yourself.

Protecting your business data

Your customer lists and job pricing are what keep you ahead of competitors, so we protect them from day one. We build and test every Command Center on sample data first. At go-live, our build team connects your live data, under a confidentiality agreement with you. Your data lives in its own separate database, hosted in the US. The AI provider does not train on it. Each person on your team only sees what their role needs. Nothing that moves money is ever automated. If your business needs added protection, like stricter access controls or an outside security review, we build it in and include it in your scope.

Protecting patient data

Clinic builds include extra steps to protect patient information. Every build is tested in a separate environment with sample data before it touches your live systems. Patient information stays inside your HIPAA-compliant systems, and the AI works from de-identified signals like visit dates and service types. Every vendor that touches patient data signs a Business Associate Agreement before anything goes live. If your practice needs added protection, like stricter access controls or an outside security review, we build it in and include it in your scope.

Protecting client data

Firms that handle sensitive financial or legal information get extra safeguards built in. Every build is tested in a separate environment with sample data before it touches your live systems. We only access what the work requires, and each person on your team only sees what their role needs. We design around the confidentiality rules your firm already follows. If your firm needs added protection, like stricter access controls or an outside security review, we build it in and include it in your scope.

What affects your price: How many people we interview, how much of your process needs redesigning, how many tools and platforms we connect, any security or compliance requirements, and how fast you want to move.

These are typical investment ranges, not fixed packages. Your walkthrough gives you a starting range. Your scope call sets the final number, once we see what you're using and where everything stands.

Built for Your Business. Not From a Template.

This isn't a plug-and-play workflow or an off-the-shelf dashboard. It's built around how you run your business. Your Command Center becomes your single source of truth. It shows you where your margins, revenue, time, and team stand right now. Every morning, it tells your team what needs action today.

Every Command Center is custom built around your unique business. It works with the software and tools you already use or want to start using, and connects them seamlessly. Or we build you a custom system you fully own and control. And it's shaped around the way your team likes to work.

We keep it simple and easy to use. Want more? Add as many bells and whistles as you like when we map out your flow.

Every engagement starts with a conversation, not a quote. Want to see what a Command Center could look like for you? Book your walkthrough and see a live custom system built for a business your size, in your industry.

Other Ways to Work Together

Is this worth it?

Finding and fixing a $500K revenue leak costs a fraction of what that leak costs you every year you leave it open. The Leak Audit is free. The strategy call is free. That's where we figure out what you actually need and whether working together makes sense.

Frequently Asked Questions

Doesn't the Command Center fix all my leaks?

Yes. Fully set up, it's one complete system that runs from the first lead through sales, delivery and payment to re-engagement. The tiers decide how much you build at once. Many owners start with their most expensive leak, see the results, then connect the rest.

How is AI used in the Command Center?

We believe AI should make your customer experience go through the roof, not replace the people behind it. AI takes on the admin that bogs most teams and owners down, so your people get their time back for your customers and for growing the business. It answers leads 24/7 by phone, text, and chat, so no inquiry sits waiting. It helps estimators build accurate bids in minutes. Where you track the data, it also forecasts busy seasons and cash flow, and flags when materials or parts are running low so orders go out before a job stalls. It drafts messages for your team and reads your live job and customer data to build each person's daily action list.

Your margins and alerts come from your real numbers and fixed rules. AI never makes up a number. When it's time to reach back out to past clients, AI finds the right moment and drafts the message, and your team approves it before it goes out. Read our Responsible AI policy.

How do you make sure AI doesn't go rogue?

Two core principles: human-in-the-loop and guardrails.

Human-in-the-loop means a person stays involved at the moments that matter. Before we build anything, we map every touchpoint in your business, from the first call to the final invoice, and decide together which steps AI can handle and which ones need a person to review or approve. AI can draft a quote or suggest a material order, but someone on your team signs off before it goes anywhere. The 24/7 phone answering works on its own, because no one is there to approve a 2 a.m. call. It answers, qualifies and books, using only your approved services and prices. Quotes and anything unusual always wait for a person.

Guardrails are the rules AI can't break. AI works only from your approved pricing, services, and policies, and it can only access what it needs for its job. So it can't invent a price, promise something you don't offer, or act outside its role. When a situation is outside its lane, like an upset customer or an unusual request, it hands off to a person instead of guessing.

Process first, automation second. Before AI touches anything, the process has to be defined and proven. Every automation starts in approval mode, where a person on your team approves each action with one tap. Once it's proven and you're comfortable, you can switch it to fully automatic. And when AI models update, we test every change before it touches your business.

Some things we don't automate at all, even with a person approving, like paying bills or moving money. Every action is logged, Command Center Care includes ongoing monitoring, and any automation can be paused at any time.

How long does a build take?

It depends on where your processes are today. Fixing one leak usually takes 30 to 45 days. A whole operation goes live in phases, and most builds take 30 to 90 days. Some take longer depending on scope and how quickly your team keeps pace with us. The clock starts once we have access to your tools. You'll get a clear timeline on your strategy call.

How do I know which tier is right for me?

That's what the strategy call is for. We look at where you're losing the most time and money and recommend where to start. If you're not sure where your leaks are yet, take the free Leak Audit first.

Can I start with Core and upgrade later?

Yes. If you're staying on the same tools, we build on what's already running. If you later want a fully custom system that you own and design around how your team works, that's a new build. But you won't be starting from zero. Your workflows are mapped, your data is clean, and your team already knows how to run from a Command Center.

Should I connect my current tools or build something custom?

It depends on where you are. Many owners start by connecting the tools they already use and getting everything working together. As the business grows, some want a system they fully own and control, built around exactly how their team works. We'll recommend the right path on your strategy call.

Do I have to replace the software I already use?

No. Most clients keep their current software. If you run on a few smaller apps, we connect them. If you run on one big platform, you keep it, and we put the Command Center on top of it.

Will you recommend better tools and software if you see better options than what we're running on?

Yes, of course. If the software or tools you're currently using could be better, or you're paying for too many (we call that software bloat, and most companies have it), we'll recommend exactly what tech should stay, go, or be switched to a better option before we touch anything or redesign your processes.

What happens when our software updates or changes?

Software changes constantly. When one of your tools updates, connections can break if no one is watching. Command Center Care includes monitoring and maintenance, so we catch and fix those changes behind the scenes while your team keeps working.

Who owns the workflows and data once it's built?

You do. Once your system is paid in full, it's yours, and you can export everything. Many owners choose Command Center Care afterward, so experts keep the system running while their team stays focused on what they do best.

How do you protect our data?

We build and test your Command Center on sample data first. Once it works the way it should, our build team connects your live data at go-live, under a confidentiality agreement with you. Every client gets their own separate database, hosted in the US. The AI provider does not train on your data. Each person on your team only sees the information their role needs.

For clinics, patient information stays inside your HIPAA-compliant systems, the AI works from de-identified signals like visit dates and service types rather than patient records, and every vendor that touches patient data signs a Business Associate Agreement before anything goes live.

How do you measure results?

We set baseline numbers before we build anything, like lead volume, close rates, job margins, and how long it takes to get paid. If you aren't tracking those yet, we start tracking from day one. Either way, you'll see exactly what changed, measured against where you started, right inside your Command Center.

What's the difference between the free Leak Audit and the Full Operational Efficiency Audit?

The Leak Audit is a free 2-minute check that shows you where your leaks are likely hiding. The Full Operational Efficiency Audit is a hands-on review of how your business actually runs, with a prioritized plan to fix it.

What does Command Center Care include?

Care keeps your system running: monitoring, fixes, updates and hosting. New automations and coaching are scoped separately. Usage costs like call minutes and text messages are passed through at cost. Your plan is priced after your build, based on your system.
